This document serves as the Guidelines for Conference Organizers in preparing and managing article submissions for publication with EDP Sciences – Web of Conferences.

It contains important information regarding:

The required article format,
Types of files to be submitted (Word or LaTeX),
Numbering and structuring the table of contents,
File submission procedures,
Copyright and production-related requirements.

Author Guidelines for Camera-ready Submission

Article Format

Use only one template for all submissions: either 17 x 25 cm (single column) as decided by the conference organizer.
Download and use the official Web of Conferences template (Word or LaTeX) for your manuscript.

File Submission

Submit your manuscript as a camera-ready PDF.
Follow all formatting instructions from the template and the “Camera-ready file preparation” guide on the journal website.
Check your PDF file quality using this tool.
All fonts must be embedded.
Image quality must be at least 300 dpi for print or 150 dpi for online-only papers.

Author Names & Affiliations

Write first names in italic (e.g., John Smith).
List full academic affiliation: Department, Institution, City, Country.
Ensure all author details are correct—this is essential for proper indexing.

References

Format references accurately and completely; include the full title of each cited work.
Use the [1], [2, 5, 7] numbering style in-text, and number your references in order of appearance.
Include DOI for each reference where available.
Maximum 15 references per paper (except for EPJ Web of Conferences).
No more than 3 proceedings articles can be cited in your reference list.
Excess or incorrect references may cause your paper to be rejected.

Additional Requirements

Do not expect any corrections after submission—check carefully before submitting.
The Preface counts as a full article (with DOI).
Submit your PDF by the specified deadline.

A Procedure of Full Paper Submission until Acceptance for the Conference Proceedings:

All prospective participants and presenters are requested to read this procedure carefully to avoid unwanted situations.

Prospective presenters of the 17th AIWEST-DR need to register to this link for submitting their abstract: visit this link

All received abstracts will be reviewed by a scientific committee member to ensure that the scope of the abstracts are aligned with the scopes of the 17 the AIWEST-DR 2025.

Submission of the abstracts will be closed on April 30, 2025.

Acceptance of the abstracts will be announced on May 15, 2025 at the latest.

Those who want to publish their papers at the Conference Proceedings may startto submit their full papers on May 16, 2025 (link for paper submission to be announced). The last date for the submission of papers is until it is June 30, 2025.

A review process of the manuscripts will be done by anonymous reviewersassigned by Editors of the Conference Proceedings.

Notification of full paper review results will be made by July 30,2025.

Following receipt of the review results, authors who want to submit their manuscript to the Conference Proceedings must both pay the paper processing fee, and submit their r5evised manuscripts by August 30, 2025.

Payment of the manuscript processing fee DOES NOT guarantee publication in the Conference Proceedings. If the submitted revised manuscript does not address the review comments, Editors of the Conference Proceedings reserve the right not to forward the paper to the Publisher. In this case, 80% of the paper processing fee will be refunded to the authors.

All papers that have met the review requirements will be submitted in Camera-Ready format to the Publisher on September 20, 2025. No refunds are available after this point.

Final acceptance of the manuscript will be made by the Conference Proceeding Publisher – E3S Web of Conferences. The Publisher reserves the right to reject any papers they deem not to meet the scientific standard of the Conference Proceedings Publisher. The 17th AIWEST-DR Organising Committee and Editor of Conference Proceedings will not be able to contradict the decision of the Publisher.

Rejected papers for the Conference Proceedings are suggested to submit theirmanuscript to some topic-related international journals. One of the options would be: International Journal of Disaster Management (IJDM)
